Interim HR Manager

Location: On-Site in Gallatin, TN

Employment Type: Temporary / Interim Assignment

Pay Rate: $35-$40/hr DOE


Position Overview

We are seeking an experienced Interim HR Manager to provide on-site HR administrative and compliance support during a period of focused operational activity. This role serves as the primary HR presence at the site, maintaining clean HR operations and compliance infrastructure while partnering closely with an HR Director for escalation and oversight.

This position is ideal for an HR professional who excels in compliance, documentation, onboarding, and operational execution, and who can work independently with limited on-site HR leadership.


Key Responsibilities

HR Compliance & Legal Administration

  • Administer FMLA and state leave tracking, documentation, and recordkeeping.
  • Manage I-9 verification, ongoing audits, remediation, and E-Verify processing.
  • Maintain labor law posting compliance at federal and state levels.
  • Process Workers' Compensation first reports of injury and maintain OSHA 300 logs.
  • Support unemployment claims documentation and EEO-1 data reporting.
  • Ensure separation and final pay compliance in accordance with applicable state laws.

Recruiting & Onboarding Support

  • Conduct pre-screen interviews using provided scorecards and templates.
  • Create and manage job postings across designated platforms.
  • Maintain ATS records, candidate status updates, and disposition tracking.
  • Initiate background checks and track completion status.
  • Process offer letters from approved templates.
  • Coordinate new hire orientation logistics and onboarding documentation.
  • Complete Day-1 I-9 verification and HRIS data entry.
  • Create and maintain physical and electronic employee files.

Employee Records & Data Integrity

  • Perform personnel file audits and remediation.
  • Maintain document retention compliance per company policy and law.
  • Process employee status changes in HRIS.
  • Generate headcount and workforce reports from existing systems.

Benefits & Leave Administration Support

  • Support open enrollment logistics and employee communications.
  • Initiate leave of absence paperwork and coordinate COBRA notifications.
  • Collect and route dependent verification documentation.

Transactional Employee Relations Support

  • Track attendance and employee call-outs.
  • Route policy questions and escalate appropriately.
  • Coordinate wellness programs, recognition initiatives, and surveys.

Offboarding & General HR Operations

  • Prepare and route separation documentation and final pay coordination.
  • Schedule exit interviews and document notes.
  • Coordinate systems access removal with IT.
  • Manage HR inbox, filing, meeting scheduling, and training logistics.

Qualifications

  • Demonstrated experience with HR compliance and administration (I-9, FMLA, OSHA).
  • Working knowledge of Tennesse employment law
  • Proficiency with HRIS platforms and Applicant Tracking Systems.
  • Ability to operate independently in an on-site environment with limited oversight.
  • High attention to detail and strong documentation discipline.
  • Professional communication skills and sound judgment in escalating issues.
  • PHR, SHRM-CP, or similar certification preferred but not required.
